Executive Administrative Assistant

Job Purpose:

Enhances executive's effectiveness by providing information management  support; representing the executive to others.
 

Duties:

* Produces information by transcribing, formatting, inputting, editing,  retrieving, copying, and transmitting text, data, and graphics.
 

* Conserves executive's time by reading, researching, and routing  correspondence; drafting letters and documents; collecting and analyzing  information; initiating telecommunications.
 

* Maintains executive's appointment schedule by planning and scheduling  meetings, conferences, teleconferences, and travel.
 

* Serves as a point of contact for all requests. Welcomes guests and  customers by greeting them, in person or on the telephone; answering or  directing inquiries.
 

* Maintains customer confidence and protects operations by keeping  information confidential.
 

* Completes miscellaneous projects and responds well to deadlines.
 

* Prepares reports by collecting and analyzing information.
 

* Secures information by completing data base backups.
 

* Maintains office supplies inventory by checking stock to determine  inventory level; anticipating needed supplies; evaluating new office products;  placing and expediting orders for supplies; verifying receipt of  supplies.
 

* Scheduling and coordinating meetings, preparing and updating materials for  distribution and recording minutes of meetings.

Skills/Qualifications:

* Minimum of 2-3 years of progressively responsible adminstrative experience  is required.

* Strong organizational skills with ability to set priorities, multitask and  meet deadlines.

* Ability to consistently produce error free, high quality work with close  attention to details.

* Strong computer skills and excellent knowledge of Microsoft Office  products.

* Demonstrated ability to determine needs and achieve results without close  supervision.

* Demonstrated ability to take initiative and lead projects.

* Ability to effectively interface with all departments of the company and to  represent the company in a highly professional manner.

* Candidate must be flexible, professional, trustworthy, highly organized,  and must be attentive to detail.

* Must be able to work in a fast paced environment and handle multiple duties  and projects under minimal supervision.
